1.Who we are
Lingsaa One is a set of business apps (finance, people, visitors, customers, documents, projects, canteen and more) run by Lingsaa. This policy explains what we store when you use Lingsaa One, why, who can see it, how long it is kept and what you can ask us to do.
Most of what is in Lingsaa One is put there by a business: its customers, suppliers, staff and visitors. For that data the business decides what is kept and why, and we look after it for them. For your own account (your login and how you use the app) we decide, and this policy is our promise to you.
2.What we store
We keep only what the apps need to work:
We do not collect more than the screen asks for. Some apps can store sensitive details, such as identity numbers or a face photo for visitor or attendance check-in, only when your company turns that on and you are told on the screen.
3.Why we use it
- To run your account and the apps your company uses.
- To keep your account and your company’s data safe: checking sign-ins, stopping misuse, keeping a change history.
- To meet the law, for example keeping invoices and books of account for the years the law asks.
- To answer you when you ask for help, and to fix problems.
- To make the apps better, using counts and error reports, not your business content.
4.Who sees it
- People in your company, each only as far as their role allows. The company owner decides the roles.
- Your accountant or advisor, only when your company invites them.
- Companies that help us run the service (hosting, storage, document printing), under a contract that lets them use the data only for us.
- Authorities, only when the law makes us share it.
We never sell your data, and we never use it for advertising.
5.Team chat and calls
People in a company can message each other and make one-to-one voice and video calls inside Lingsaa One.
- What is kept: the messages you write, who is in each conversation and how far each person has read, and for calls who called whom, when and for how long.
- Who can read it: only the people in the conversation. Not the company owner, and not Lingsaa staff.
- Calls are never recorded. Sound and picture go straight between the two people’s browsers. When a network does not allow that, they pass, encrypted and without being stored, through a relay server Lingsaa runs in India.
- How long: the company owner chooses to keep messages until they change it, or to delete messages and call records older than 3, 6, 12 or 24 months. You can delete your own messages at any time; a line saying the message was deleted stays in its place.
- Your copy and erasure: you can download the messages you wrote from your chat settings. When the company owner answers an erasure request, the person’s message words are cleared and only the deleted lines stay.
6.How long it is kept
When something is erased, the records the law makes us keep stay, without the person’s name or contact details.
7.Your rights
You can ask to:
- See the data held about you, and get a copy.
- Correct data that is wrong or out of date.
- Delete data that the law does not make us keep.
- Take back a consent you gave, for example to marketing messages from a business.
- Complain, to us or to the data-protection authority where you live.
How to ask. If a business holds your details (you are its customer, staff member or visitor), ask that business: its owner answers from Organisation admin › Privacy & data requests, where they can give you your data and erase what the law allows. For your own Lingsaa One account, write to us at the address below. We reply within 30 days.
8.Data-protection law in your country
We follow the data-protection law of the country you live in, where it applies to you. Examples are the Digital Personal Data Protection Act in India and the GDPR in the European Union and the United Kingdom. Where your country’s law gives you more rights than this policy, those rights apply.
If you are not happy with our answer, you can complain to the data-protection authority in your country (in India, the Data Protection Board of India).
9.Where it is stored and how it is kept safe
Lingsaa One’s data is stored on servers in India. If it is ever handled in another country, we make sure it gets the same protection as here.
- Data is encrypted while it travels and while it is stored.
- Every person signs in, and sees only what their role allows.
- Important changes are written to a history that cannot be edited.
- Passwords are stored scrambled; staff at Lingsaa cannot read them.
If something goes wrong that puts your data at risk, we tell the affected businesses and people as the law asks.
10.Cookies
We use only the cookies the app needs to work. There are no advertising or tracking cookies.
Your browser may also keep small conveniences, such as the columns you picked in a list. They stay on your device.
11.Children
Lingsaa One is made for businesses and is not for children. A business that records a child (for example, a young visitor) must have the consent the law asks for from a parent or guardian.
12.Changes to this policy
When we change this policy, we update the date at the top. If a change affects what we do with your data, we tell you in the app before it applies, and where the law asks, we ask you again.
13.Grievance Officer
If you have a complaint about how your personal data is handled in Lingsaa One, or we did not answer a request the way you expected, write to our Grievance Officer.
Please give your name, the company you belong to and what happened. If you are not satisfied with our answer, you can take it to the data-protection authority in your country.
